Last modified: November 17, 2023. This policy explains how Submission CRM LLC collects, uses, maintains, protects, and discloses information when users access the Submission CRM software and website.

Introduction Information collected Cookies and tracking Use of information Disclosure Choices and rights Data security Contact

Introduction

Submission CRM LLC, referred to as the Company, respects user privacy and is committed to protecting it through compliance with this policy. The policy applies to information collected when users access the Submission CRM software through www.submissioncrm.com, including content, functionality, services, emails, text messages, electronic messages, mobile and desktop applications downloaded from the website, and advertising or third-party applications that link to this policy.

The policy does not apply to information collected offline, through other websites or applications operated by the Company or third parties, or by third parties that may link to or be accessible from the website. Users should read this policy carefully. By accessing or using the website, users agree to the policy and should check it periodically for updates.

Users under 18

The website is not intended for users under 18 years of age. Users under 18 may not provide personal information through the website, register, make purchases, use interactive features, or provide names, addresses, telephone numbers, email addresses, screen names, or usernames. If the Company learns it has collected personal information from a user under 18 without verification of parental consent, it will delete that information. Questions about information from or about a user under 18 may be sent to [email protected].

Information We Collect

The Company may collect information by which a user may be personally identified, including name, postal address, email address, telephone number, or another online or offline identifier. It may also collect information that does not individually identify a user, plus information about internet connection, equipment used to access the website, and usage details.

Information may be collected directly from users, automatically as users navigate the website, and from third parties such as business partners. Automatically collected information may include usage details, IP addresses, cookies, web beacons, and other tracking technologies.

Information provided by users

  • Information submitted through forms, registration, subscriptions, service requests, contests, promotions, and support reports.
  • Records and copies of correspondence, including email addresses, if users contact the Company.
  • Survey responses submitted for research purposes.
  • Transaction details and fulfillment information, including financial information required before subscribing to a service through the website.

Users may also provide content to be posted on public areas of the website or transmitted to other users or third parties. These User Contributions are posted and transmitted at the user's own risk. No security measure is perfect, and the Company cannot guarantee that User Contributions will not be viewed by unauthorized persons.

Automatic Data Collection

As users navigate and interact with the website, the Company may use automatic data collection technologies to collect information about equipment, browsing actions, and patterns. This may include visit details, traffic data, location data, logs, communication data, resources accessed, IP address, operating system, and browser type.

The Company may use this information to estimate audience size and usage patterns, store preferences, customize website experiences, speed searches, recognize returning users, improve the website, and deliver a better and more personalized service.

Cookies, web beacons, and local storage

  • Browser cookies may be used to store small files on a user's device. Users may refuse cookies through browser settings, but some website features may not function properly.
  • Web beacons, pixel tags, clear gifs, and single-pixel gifs may be used to count visits, measure content popularity, and verify system or server integrity.
  • Local stored objects, including Flash cookies where applicable, may collect and store preferences and navigation information. These may be managed separately from browser cookies.

Some content, applications, or advertisements may be served by third parties such as advertisers, ad networks, content providers, and application providers. Those parties may use cookies, web beacons, or other tracking technologies to collect information about user activity. The Company does not control those third-party technologies and users should contact the responsible provider with questions.

How Information Is Used

The Company may use collected information, including personal information, to present the website and its contents, provide requested products or services, fulfill the purpose for which information was provided, send account or subscription notices, carry out obligations and enforce rights under contracts, handle billing and collections, notify users about changes, allow participation in interactive features, and use information as described when provided or with user consent.

The Company may also contact users about products and services that may be of interest. Users who do not want information used in this way may adjust account preferences or use available opt-out mechanisms. Information may also be used to display advertising to target audiences; if a user interacts with an advertisement, the advertiser may assume the user meets its target criteria.

Disclosure of Information

The Company may disclose aggregated information and information that does not identify an individual without restriction. Personal information may be disclosed to subsidiaries and affiliates, contractors, service providers, and other third parties used to support the business, provided those parties are bound by contractual obligations to keep personal information confidential and use it only for the purposes for which it is disclosed.

Personal information may also be disclosed to a buyer or successor in a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all assets. It may be disclosed to third parties for marketing if the user has consented, for any disclosed purpose, with consent, to comply with court orders, laws, legal process, government or regulatory requests, to enforce terms of use or other agreements, and when disclosure is necessary or appropriate to protect the rights, property, or safety of the Company, customers, or others, including fraud protection and credit risk reduction.

Choices, Access, and State Privacy Rights

Users may control some information through browser settings, account preferences, and opt-out requests. Browser settings can refuse some or all cookies or alert users when cookies are being sent. If cookies are disabled or refused, parts of the site may be inaccessible or may not function properly.

  • Users may opt out of certain third-party advertising disclosures by adjusting account preferences where available.
  • Users may opt out of promotional offers by adjusting account preferences or replying to promotional email requests to be omitted from future distributions.
  • Users may opt out of targeted advertising where account preferences provide that option.
  • Users may review and change personal information through the account profile page or by emailing [email protected].

The Company may not accommodate a request to change information if it believes the change would violate a legal requirement or cause information to be incorrect. Deleting User Contributions may not remove copies that remain in cached or archived pages or that have been copied or stored by other users.

State privacy rights

Residents of states such as California, Colorado, Connecticut, Nevada, Virginia, and Utah may have additional personal information rights and choices. California users may request information about disclosure of personal information to third parties for direct marketing purposes. Colorado, Connecticut, Virginia, and Utah residents may have rights to confirm processing, access and delete certain information, receive data portability, and opt out of targeted advertising and sales. Colorado, Connecticut, and Virginia residents may also have rights to correct inaccuracies and opt out of profiling that produces legal or similarly significant effects. Nevada residents may have a limited opt-out right for certain personal information sales; the Company states it does not currently sell data triggering that statute's opt-out requirements.

Data Security

The safety and security of information also depends on users. Where a password is provided or chosen for access to certain parts of the website, users are responsible for keeping it confidential and should not share it. Internet transmission is not completely secure, and the Company cannot guarantee the security of personal information transmitted to the website. Any transmission is at the user's own risk.

To help secure personal data stored on servers, the Company restricts access to personal information to employees, contractors, and agents who need to know that information to operate, develop, and improve the website and services. These individuals are bound by confidentiality obligations and may be subject to discipline, termination, or criminal prosecution if they fail to meet those obligations.

If the Company learns of a security breach, it may attempt to notify users electronically so users can take protective steps. By using the website or providing personal information, users agree that the Company may communicate electronically about security, privacy, and administrative issues related to website use.

Changes and Contact Information

The Company may post changes to this privacy policy with notice that the policy has been updated on the website home page. If material changes are made to how personal information is treated, the Company may notify users by email to the address specified in the account or through notice on the website home page. Users are responsible for keeping an active and deliverable email address up to date and for periodically reviewing this policy.
